What is oneGov Workplace?
oneGov Workplace is a suite of apps comparable to the Google suite. This is because it is also made up of many apps or components that help agencies process applications, track workflows, and coordinate across departments.
Let’s take a look at some of the apps that make up oneGov Workplace and how they modernise government operations.
Getting Started
Before an entity launches any service through oneGov, they begin by using and familiarising themselves with three core tools of oneGov Workplace. They are:
Entity Manager – This app enables agencies to set up their profiles on oneGov, create teams, onboard their staff as users, and configure secure access to ensure only authorized staff can access the right tools and data.
Service Cloud DX – This app is a service builder used to design and configure digital services, forms, and workflows.
The Data Hub – This app gives agencies the ability to define and store structured data, supporting both historical tracking and smart reuse across services.
Managing Applications and Tasks
oneGov Workplace also has tools for service providers to use once they launch their services through oneGov and the public begins to submit applications. Some of them include:
Task Inbox – This app centralises all assigned tasks, making it easy to search, assign, track, and complete work efficiently.
Service Inbox – This app collects and organises all applications from the public, streamlining response times, and enhancing citizen experience.
Workflow Admin – This app tracks the progress of each service application, including task assignments, communications, documents, and payments.
Collaborating Across the Government
oneGov Workplace includes collaboration tools that make it easier for government agencies to communicate and work together, both internally and with other agencies.
Intra-X – This app allows staff to submit internal requests within the organization such as HR or IT support.
G2G Kindle – This app facilitates direct communication between government agencies, reducing citizen burden and improving interagency coordination.
Document Generation and Output Management
Another aspect of service delivery that oneGov Workplace touches on is generating consistent and professional documents. The apps that enable this functionality include:
Document Control Register - An app that generates unique reference numbers for all official output documents in a format readable by humans.
Template Cloud – This app lets agencies design output documents like certificates and licences, complete with Document Control Numbers (DCNs) and QR codes for authenticity and traceability.
Digital Records and Citizen Access
oneGov Workplace provides secure and citizen-friendly tools for managing and sharing digital records.
EDMS (Electronic Document Management System) – This app acts as a secure digital vault where agencies can store, manage, and control access to application-related documents.
Locker & Locker Admin – These apps provide citizens with access to documents while allowing agencies to control how they are delivered.
A Centralised Entry Point
Making payments such as fees to the government is also an important part of some public services. oneGov Workplace also has apps designed to simplify this process:
P2G Payments Manager – This app handles government service payments, from setting fees to processing payments, and sending real-time notifications to service applicants. It also incorporates local payment gateways such as Bandeyri Pay.
How It All Comes Together
Let’s take the example of a typical public service, like issuing a business license, to see how oneGov Workplace powers the entire journey.
It all begins in Service Cloud DX, where the service is first designed and configured. Once the public starts submitting applications, they are captured in the Service Inbox and assigned to staff through Task Inbox.
Behind the scenes, Workflow Admin keeps track of each step, while Data Hub ensures that all relevant information is accurate, reusable, and easy to audit. Once approved, the final output, such as a digital license, is generated using Template Cloud, complete with a unique Document Control Number and QR code for authenticity.
Finally, the document is securely delivered to the applicant through Locker, ensuring a smooth and professional citizen experience from start to finish.
Impact and What’s Next
The impact of oneGov Workplace has been clear and measurable. Agencies are completing tasks faster, doing less manual work, and delivering services with greater accuracy.
Most importantly, citizens are experiencing quicker response times and more transparency.
Looking ahead, the platform will continue to evolve. New modules and advanced automation features are on the horizon, designed to make government operations even more responsive, efficient, and user-friendly.
oneGov Workplace is more than just a backend system. It is a complete operational environment for digital government.
By standardising tools and making them accessible, it empowers service providers to work more efficiently, solve problems faster, and serve citizens better.
